Key Purpose of the job

To provide financial and administrative support to Serco at the Defence Academy, ensuring a high standard of administrative provision in support of Shrivenham Station and Serco departmental activities.

Key Accountabilities

  • To provide financial and administrative support to Serco at the Defence Academy.
  • Work from TopDesk and update order requests promptly
  • Monitor and action emails received into the group mailbox
  • Receive purchase order requests, review and submit the purchase orders into SRM or purchase by credit card, in accordance with Serco procedures and the group financial control manual and ensure that the correct work breakdown structure (WBS) elements and product categories for approval.
  • Creating and processing one-time vendor forms and vendor amendments on SAP.
  • Assist the Purchasing Controller with ‘Adhoc’ payments/purchases, as and when required.
  • Responsible for tracking and monitoring of purchases, including open purchase orders report, goods received/invoice received report, retrospective purchase orders report.
  • Ensure that goods received notifications are actioned on delivery of ordered items ensuring that prompt payment to suppliers can occur.
  • Maintain contracts with third parties, identifying renewal dates, obtaining quotes and ensuring they are actioned in a timely manner.
  • Authorising copying invoices for payment.
  • Provide billing and reporting reports for all departments when requested.

What will I need to do the job?

  • Good level of general education, with GCSE’s (A-C) or equivalent in English and Mathematics.
  • Self-starter with the ability to work individually and as part of a team
  • Ability to maintain accurate records using computer-based systems
  • A good understanding of and/or previous experience of financial administration
  • Experience in the use of MS Office applications, particularly Microsoft Excel
  • Experience in working with financial applications in particular SAP
  • Experience in financial accounting processes
  • Experience in contract administration
